1. Submit your team’s Player Eligibility Verification (PEV) Form to eligibility@ncr.rugby by November 12. Please use the help video which walks through this process for 2025-2026.
2. If needed, book air travel. The NCR travel agency, PRS Travel, can assist you.
3. If needed, book local transportation. The NCR travel agency, PRS Travel, can assist you with booking team vans.
4. Book hotel rooms for your team. Regional and National events are stay-and-play tournaments, and it’s mandatory that all teams stay at these designated tournament hotels. Exceptions will be made for schools within 60 miles of each location. To make your reservations for regionals and nationals, please use the booking links below. 5. Bring Emergency Medical Information for each player. (example)
6. Ensure that you have a fully stocked team medical kit including taping supplies for known injuries, basic OTC medications and sunblock.
7. Confirm Team Broadcast Information: Using the NCR App, all players must confirm that the information publicly displayed on their team roster is correct. If any changes need to be made, players must sign into Sport:80 and update their broadcast information listed under their NCR Membership.
8. Provide Jersey Numbers: A roster link will been sent to all head coaches through the Exposure Rugby system. Each player must be assigned a jersey number for the entire weekend. Rosters will be locked the Thursday night before your match, so any changes after must be submitted through info@ncr.rugby.

- Men's and Women's Regional Tees: Produced on-demand within 2-3 weeks!
- Women's National Tees: Preorder by midnight, December 3 and pickup at team check in.
- To receive a training time, all clubs must first complete the steps above. Once all steps are completed please reach out to kelsea@ncr.rugby to reserve your training & check-in time slot.
- Check in will take place 30 minutes BEFORE your training time, all teams are encouraged to arrive 45 minutes early. All teams must to check in the day before their first match. Team check in will be located under the white tent at the Stadium entrance.
- Each team must nominate 4 players to represent their team in full kit as media day representatives which will occur after they check-in. These should include their captains and other key players. We will have these players check-in first and then head to the media room (expect this to take about 20 minutes).
- Two training fields will be running per hour during training; each team receives one half to use during their slotted hour training time.
- All players are required to show their NCR Membership E-Card at check in. Here is a help video on How to Download Membership E-Card. Once approved, all players will receive credentials that must be worn at all times around the SaberCats Facility when not playing.
- Printed roster forms will be provided at check in with jersey numbers. It is expected that players will be assigned a jersey number for the entire weekend, but in the case that a jersey number needs to change, please flag this for NCR at info@ncr.rugby.
- If you preordered t-shirts, those will be available at check-in. Event merchandise will also be available for purchase on site.
